Orders come in from everywhere. Nothing should get lost.

A text at 6am. A voicemail at lunch. An email with "the usual." Your store, your spreadsheet, and someone's memory. We build one place where every order lands, whoever sent it and however they sent it.

What it looks like on a normal day

You are a roaster. Or a repair shop. Or a distributor. The pain is the same.

An order comes in as a text while you are loading the roaster. Another is sitting in voicemail from a café that always calls. Two more are in email, one of them a reply to a thread from March. Your online store took a handful overnight, and those are fine, because the store writes them down for you.

Then there is the wholesale spreadsheet. Someone has to write out each text and email order one by one, in a row, by hand. Batching for roast day means reading all of it back and hoping nothing was skipped.

It works until a good week arrives. Then a rush order comes in by text while you are already packing, the label gets the wrong grind, and the café calls to ask where their order is. Nobody remembers who took it.

The order is not the hard part. Catching it is.

What it costs you

Not a number. We do not have one for your shop, and we will not make one up. But you can name the costs yourself.

  • Time. The hour a day spent moving orders from five places into one.
  • Order errors. The wrong grind, the wrong size, the bag that never went out, because a text got scrolled past.
  • A bad look. A café that had to call twice is a café that is already listening to your competitor.
  • You. The owner is the inbox. The business cannot run a day without you reading every channel.

Most tools sold to roasters start after the order exists. They help you roast it, ship it, invoice it. They do not help you catch it. That gap is the part we build.

What fixing it looks like

One list. Every order, from every channel, lands on it. Not a portal your customers have to learn. Not a new app they have to download. They keep texting. They keep emailing. They keep calling.

What we would build for you:

  1. A catch-all. Texts, emails and voicemails come into one place. Voicemails get written out as text so you can read them.
  2. A draft order, not a finished one. Each message becomes a draft order with the customer, the coffees, the sizes, the grinds, and the day they want it. You glance, fix anything wrong, and approve. Nothing ships on a guess.
  3. The same list your store already uses. If you sell on Shopify, the draft becomes a real order there, so retail and wholesale sit together and your reports are honest.
  4. Roast day, already batched. Approved orders roll up into what to roast and what to bag. No more reading back the spreadsheet.
  5. Labels and packing slips that match the order. Because they come from the order, not from memory.
  6. A "got it" back to the customer. From your own number or email, so the café stops calling to check.

We build this to fit how your customers already order, not the other way round. If your best account only ever leaves a voicemail, that account still works.

Proof

Our closest work so far is Barista Plus Coffee, a Dallas roaster. We built their online store: twelve coffees, three sizes, nine grinds, which is 324 combinations, all driven by real product data. It takes retail orders and subscriptions, and it has a wholesale enquiry form that captures a café's monthly volume by product line. The whole store is in English and Spanish.

That store has not opened to the public yet, so we have no order figures to show you. What we can show you is the build.

The order catch-all described above has not shipped for a roaster yet. What runs today is our own company. About twenty small automated jobs run Buzzy: lead capture from the site, syncing our contacts, approval cards before anything sends, and a daily check that the rest is still working. We run on this before we sell any of it.

Honest limits

  • We have not shipped an order catch-all for a client yet. Barista Plus proves the store side. The text-and-email side has not been built for a client yet. We would rather say so here than have you find out on the call.
  • Reading a messy text is not perfect. That is why every order is a draft you approve, not something that ships on its own.
  • If your customers already order through a portal happily, you do not need this page. Keep the portal.
  • We cannot make a café that never confirms their orders start confirming. We can make sure you never lose what they sent.

Questions people ask

Can my customers keep ordering by text?

Yes. That is the point. They text the number they already have. The order lands on your list.

Do my wholesale accounts have to log in to anything?

No. Nobody has to learn a new tool but you, and yours is one list.

Does this work with Shopify?

Yes. Approved orders become real Shopify orders, so your store and your wholesale sit on the same reports. If you are not on Shopify, tell us what you use and we will tell you straight whether we can build to it.

What happens to my spreadsheet?

It retires, or it becomes a report you read instead of a thing you type into. Your call.
